- High school diploma or equivalent
- Coursework in business office/technology preferred
- Office experience required
- Serve as confidential secretary to the Superintendent and provide secretarial and organizational support services
- Maintain the confidentiality of sensitive information related to personnel issues, grievances and legal matters affecting the district
- Serve as the primary contact person and liaison between the Superintendent and district personnel, parents, students, and the general public
- Work harmoniously with others and communicate effectively (both orally and in writing) using tact, courtesy and good judgment
- Screen incoming calls, mail and visitors for the Superintendent and provide information regarding district policies, procedures or refer to appropriate staff member
- Maintain the calendar for the Superintendent and the Board of Education; schedule all meetings
- Serve as secretary to the Board of Education, committees and councils as assigned; post all public meetings, prepare agendas and supporting materials, prepare and distribute final minutes and reports and conduct follow-up tasks as necessary
- Keep full and accurate minutes of all meetings of the Board of Education and provide a copy to board members prior to regular meetings of the Board
- Publish all legal notices concerning district business
- Responsible for posting vacancies and monitoring the hiring process; maintain the personnel hiring system
- Maintain District website information for current openings
- Provide onboarding information for all new hires and maintain personnel files for all district employees
- Serve as the district administrator for the MACHS system for fingerprint background checks and audit
- Manage the termination process for all employees who leave the district (resign, retire, non-renew)
- Teacher certification for new employees

- Process purchase orders and requisitions assuring proper approvals, code and record the purchase of supplies as required
- Assist with budget preparations, monitor departmental budget, prepare statistical reports and schedules and notify appropriate personnel of any budget-related concerns
- Maintain information from various organizations (i.e. the Department of Elementary and Secondary Education, Missouri School Boards Association, Missouri Association of School Administrators, the legislature)
- Prepare correspondence, documents, reports, agendas, and minutes as assigned
- Act as a friendly ambassador for the Harrisonville Cass R-IX School District
- Work independently prioritizing tasks to meet deadlines while maintaining a high degree of accuracy and attention to detail
- Perform administrative support functions requiring independent judgment, decision making and problem-solving
- Respond to inquiries on a variety of matters and ability to tolerate frequent interruptions to the normal work schedule. Become familiar with, enforce and follow all Board policies, regulations, administrative procedures and other directions given by district administrators and state and federal laws as they affect the performance of job duties
- Perform additional tasks and responsibilities as assigned by the Superintendent
